One system for the whole visit: why we built HyperCRM
Most clinic software stops at the appointment. HyperCRM carries the visit through: booking, records, clinical notes, files and the invoice.
Watch a small clinic for a day and you can count the systems. One books the appointment. Another holds the patient record. The clinical notes sit somewhere else, the X-rays in a shared folder, and the invoice gets written in a fourth tool at the end. Each hand-off is a place where data gets retyped, and retyped data is where errors come from.
HyperCRM is our answer to that: one system for the whole visit. It covers scheduling, patient records, intake forms, files and invoicing for appointment-based practices that keep clinical records. It is not a hospital suite, and it is not a booking tool that stops at the appointment.
One data model, many kinds of practice
Dental, medical, surgical, physiotherapy and aesthetic clinics all run on appointments, records and invoices, but they don’t use the same words. A dental practice books chairs. A physio books treatment rooms. An aesthetic clinic sees clients, not patients.
We didn’t fork the product per specialty. HyperCRM keeps one underlying model and lets each practice work in its own vocabulary, so a mixed clinic can run everyone on a single system. Dental practices also start with a pre-filled service catalogue, so invoicing works on the first day.
What it covers
- Scheduling: a calendar with automatic appointment reminders.
- Clinical notes: every note keeps its revision history.
- Files: imaging and documents attached to the patient they belong to.
- Invoicing: visits billed from the practice’s service catalogue.
- A practice website: with a live booking calendar connected to the same schedule.
- Import: patient data comes in from CSV, with column matching and validation before anything is written.
Treating patient data like it matters
Clinical data is the part we were least willing to compromise on. Records are encrypted in transit and at rest. Everyone signs in with their own login, with passkeys available, so there are no shared front-desk passwords. Every change is logged, so the practice can always answer who changed what.
Just as important, the data stays the practice’s. It exports to CSV and file downloads at any time, with no fee and no waiting period. Software that holds your records hostage is a liability, however good it is otherwise.
An assistant that asks first
HyperCRM has a built-in assistant for routine work, and it exposes the same surface over the Model Context Protocol: 67 scoped tools that Claude can use. The rule for both is the same. The assistant acts with the permissions of the person using it, and it confirms before it changes anything. It never writes on its own.
